A scanned name is useful only if someone can tell why the person stopped, what they need, and what your team promised. Test the whole path with a sample lead Ask the organizer for a sample badge and the rules for accessing attendee data. A QR code can contain a contact card, a URL, or an opaque identifier. Reading that identifier does not necessarily provide access to the registration record behind it. Run one clearly labeled test contact through capture, review, export or CRM sync, assignment, and follow-up. Inspect the resulting CRM record. A successful scan screen does not prove that the owner, event, and notes arrived where you expected. [ ] Test on the phones and browsers your reps will actually use. [ ] Check camera and microphone permissions. [ ] Verify the email spelling, company, event, owner, and notes in the destination. [ ] Try a second capture of the same test contact and inspect duplicate handling. [ ] Confirm what is saved when the connection drops. [ ] Identify who will resolve sync failures during the show. On the floor: close each conversation with a next step Ask permission to capture the contact, then verify the fields with the visitor. Add one sentence about the problem discussed and one sentence about the agreed action. If the booth is busy, a brief voice memo can preserve context, but review the transcription before sending it downstream. Use qualification to choose a response, not to collect a score for its own sake. “Needs a quote for three locations; Alex to send requirements checklist on Tuesday” is more actionable than “hot lead.” [ ] Confirm the preferred contact channel. [ ] Record the visitor’s actual need in their own terms. [ ] Agree on an action and a realistic date. [ ] Assign an owner before the lead leaves the booth workflow. [ ] Check for unsaved records or pending uploads before changing devices or signing out. After each shift: reconcile captured and delivered leads Compare three counts for the same event: captured leads, pending or failed items, and successfully delivered records. Investigate gaps before deleting local data. Keep a controlled export if your process needs a recovery copy, and store it in an approved team location. Do not treat every difference as lost data: deduplication, intentionally excluded contacts, and existing CRM records can change counts. Record the reason so the next person can reconcile the same numbers. [ ] Restore a stable connection and inspect the queue.
